The Patient Coordinator (PC) is an integral participant in the patient’s journey towards wellness. Making the commitment to a lifestyle change or to have a procedure done is one of the most impactful decisions anyone can make. It is extremely important that the patient is made comfortable with their decision and understand that the PC and by extension the office is there to support them every step of the way. Most importantly, for this relationship to be fostered, there must be constant, helpful communication every step of the way. The PC must be the patient’s friend and confidant throughout the entire process leading up to a procedure and afterwards. The following duties are essential components of the PC’s responsibility to the patient and the process.

  • Meet with the patient after the consultation to go through the processes leading up to the procedure/programme, the basic details of the procedure/programme and the after care.
  • Book the patient for all consultations reviews and keep in touch with the patient to ensure they are aware of the respective appointments and are able to keep them. This is facilitated via email, WhatsApp, phone calls and Google calendar
  • Provide the preoperative instructions and information booklets well in advance of the procedure and go through each item with the patient
  • Ensure that the procedure workflow is adhered to and updated on the patient’s record in the Topaz EMR system.
  • Liaise with Administrator and Service Providers to obtain information necessary for submission of preauthorization requests for procedures.
  • Submit and follow up preauthorization requests. Communicate the responses from the insurance companies with Administrator to allow payment to be settled.
  • Book patients for procedures and ensure preoperative instructions and care packages are provided to the patients.
  • The day before the procedure contact the patients to ensure that all preoperative requirements have been fulfilled. Eg. Medication adjustments, post op care arranged.
  • Upon discharge ensure the patient has all medications and post op instructions.
  • Follow up with patient daily during the first post operative week and on alternate days in the second week then weekly thereafter or more often as needed.
  • Communicate with the Service Providers any adverse events or complaints experienced by the patient outside of the norm.
  • Ensure patients adhere to their post op routine and keep follow up appointments.

 Associate or Bachelor :

Excellent communication skills.

Strong time management and multitasking abilities. Professional demeanor and organized approach.

Keen attention to detail.

Proficient in computer use and software applications. Exceptional customer service skills.

Minimum 5 CXCs / CAPE / CSEC subjects (to include Mathematics and English Language) Certificate in Phlebotomy , Practical Nursing or Customer Service would be an asset
